Voipappz System Introduction
The Voipappz system is an advanced interface to a telephony switch. It provides a simple automatic and manual user interface to manage the advanced PBX functionality incorporated in the Voippappz system. The system provides advance telephony exchange properties for small, medium and large organizations with thousands of extensions and phone lines.
The system is 100% cloud based, providing reliable, advanced telephony functions with full telephone-internet integration at a fraction of the costs of a physical exchange. Voipappz supports webrtc - PC - PSTN integration allowing a computer to provide all telephony capabilities required for a call center or office and avoiding the high costs of additional physical devices such as PSTN/IP phones.
Also provided are automatic subscriptions that create a service plan and remove it once the subscription is expired.

Admin Screen Organization
Following login, you should see this status screen. The screen provides basic current operational data and statistics. Pressing on the headings will change the view. Selecting Extensions or Calls will change the view to the main administrator view.
Screen organization:
- On the left is the main menu. Pressing a heading will open a sub-menu or typing the first letters of the sub-menu category will also open it.
- On the bottom you see 4 frequently used buttons:
- "Home" to take yo to the live status screen
- "version" to display the admin version
- Documentation" a link to the system documentation
- , :Logout" to logout
- "Hide" to make the side menu a popup menu when the mouse is on the left edge of the screen
- On top you have sub-menu open tabs. they contain sub-menu's categorizes that were already opened.
- On the top right there are 3 icons. Usually you will see "configuration" (of current screen) or "+new" (depending on the screen), Book icon link to documentation and refresh icon to refresh the current screen.
Basic Configuration Checklist
This document is a guideline and checklist to setting up the VOIPAPPZ admin application.
You should already have a username and password in order to login to the VOIPAPPZ admin server application.
Note that there are 2 ways to access the system, via the admin server and via the portal. the admin server access is intended for system admins for management of the system parameters, configurations and users (extensions). The portal access is intended for individual users in order to manage their own extension and listen to voicemails.
Steps:
This guide will take you through the screens required to setup basic exchange, phones and extensions.
Hi-Level Steps
Step 1: Add a SIP Trunk. A SIP Trunk is required to make incoming and outgoing phone calls. A single SIP Trunk can support many simultaneous calls, depending on what the organization requirements are. This is required for both manual and automatic plan provisioning.
Step 2: Setting up your Environment. In this step you will configure an environment for the customer to use. it is a required step that differentiates between different customers (TENANTS menu). One customer must have at least one environment and can have more. For example each division may have its own environment.
Step 3: Setting up extensions. Each extension supports one internal phone and is specifically configured for the person that will use it. Once configured and registered, calling internal and external phones is possible.
Step 4: Setting up DID (Direct Inward Dialing) or ROUTE (Routes menu). In this step, incoming calls are configured so they will automatically or manually will be directed to the correct internal extension.
Step 5: Check all is working as expected.

Step 1: Add a SIP Trunk
In order to make and receive phone calls, an external service provider is engaged. SIP (Session Initiation Protocol) is the method to provide the service. There are many such providers and your organization must have an agreement with one or more in order to make and receive calls.
- To setup a new SIP, navigate to “SIP Providers” screen.
- Select “+New” and fill in the fields. You should fill in: Name, Address (IP or Domain) and username and password as provided by the SIP provider.
- Select “Create”. Later, you may need to edit some of the fields.
Notes: Some providers do not use username/password to register the service but your IP address. For them, a fixed IP is required for the Server. Some providers use username/password and accept those only from the registered fixed IP. You need to check and provide the correct method you telephony SIP provider is using.

Step 2: Setting up your Environment.
The VOIPAPPZ platform is designed to support many customers via a single application. In order to maintain clear distinction between those customers, each customer should be assigned a unique environment (or several unique environments). The platforms guarantees separation of data between them so each customer can only access the environment(s) assigned to them.
- To setup a new environment, navigate to the “Environments” screen.
- Select “+New” and fill in the fields. You should fill in the Name field.
- Select “Create”. Later, you may need to edit some of the fields.

Step 3: Setting up extensions.
In order to connect phones, extensions have to be configured. The system supports any hardware or software IP phone. Those are Internet connected phones, connected via CAT5 type cable or accessing the internet via WiFi/Bluetooth or any other method. There are many types available and your organization should try to use one type in order to simplify setting up the phones.
Please note that the phone has to be assigned an extension and “registered” with the system before it can be used.
- To setup a new extension, navigate to “Extensions” screen.
- Select “+New” and fill in the fields. You should fill in: Name, username, password and Environment.
- Select “Create”. Later, you may need to edit some of the fields.
Note that now, extensions can dial internally to another extension and to an outside number (if permitted).

STEP 4: Setting up DID (Direct Inward Dialing)
DID is how external calls are mapped to internal extensions. Here you will setup how a call is routed within the system. The call may also be redirected to an external number(s), voice mail, conference, etc., depending on permissions and configured services.
- To setup a new DID, navigate to “DIDs” screen.
- Select “+New” and fill in the fields. You should fill in: Name, environment, number (E.164 number – number with country code. Example: 972123456789) and Bridge (this is where you select what to do with the incoming call).
- Select “Create”. Later, you may need to edit some of the fields.

Step 5: Check all is working as expected.
Now we need to make sure that our setup actually works.
- From a softphone/WEBRTC – Make sure it is registered and generate a call to your mobile.
- From your mobile or another configured DID call and make sure it is responded to in accordance with the DID configuration.
Note: The process above is a manual one. Steps 1 and 2 will be manul but the rest of the process can be done automatically via the Subscriptions menu. You must pre-configure the Plans and Services menus. automatically purchase and assign a plan to a customer.
